Reconcilia is a desktop app that keeps books in QuickBooks Online with an agent. It learns how your books are kept today, prepares each entry in the same format, and writes nothing to QuickBooks until you approve it.
In development. It already keeps part of the books of a restaurant in Quebec.
01
Read the books
Before it touches anything, the agent reads the ledger, read only. It turns what it finds into a map: the accounts in use, the exact format of every entry that repeats, how each vendor is coded. What the ledger shows is recorded as fact. The why becomes a question for you.

Receive the documents
Invoices land in the company's folder. You drag them into the window, or Reconcilia picks them up from the mailbox you connected. Once an invoice is in the ledger, its email gets a label, so your mailbox shows what has been dealt with.

03
Code it like last time
Each invoice gets the account and tax code your books already give that vendor. A program checks the amounts to the cent, rather than the model: subtotal, GST and QST have to add up to the printed total.

Approve one at a time
Nothing reaches QuickBooks without your approval, entry by entry, with the whole invoice in front of you. If something looks off, you decline and nothing is written.

File it
The document is attached to the entry in QuickBooks, then filed in the vendor's folder. Every pass leaves a table of what was read, decided and written, which you can go back to later.

Your data
The books stay with you. Each company has its folder on your computer, with its map, its documents and the history of every pass.
The agent works with your own AI model account and with the access you grant to QuickBooks and Gmail. No Reconcilia server keeps your email or your invoices, with one exception: a message sent to a reconcilia.app address stays there until 30 days after it is picked up. The details are in the privacy policy.
